WordPress Membership Site Automation

Onboard new members, chase failed renewals, win back the ones who lapse and keep levels, roles, groups and Discord access in step — for MemberPress, Paid Memberships Pro, Ultimate Member and BuddyPress.

The problem

What makes this slow by hand

  • Failed renewals go unnoticed

A declined card ends a membership quietly, and the member never hears why.

  • Onboarding is a receipt

New members get a confirmation, then nothing that helps them settle in.

  • Access lives in several places

A membership level, a WordPress role, a community group and a Discord role all have to agree, and they drift apart.

  • Lapsed members are forgotten

Nobody reaches out when a membership ends.

How FlowWP handles it

The same work, as workflows on your own site

  • Every membership event is a triggerNew members, cancellations and expiries in MemberPress start workflows on every plan; payments, renewals and Paid Memberships Pro levels add more.
  • Rescue failed paymentsWhen a renewal is declined, email the member straight away and tell whoever chases payments.
  • Onboard over the first weekDelays spread a welcome, a few tips and an invitation to the community over several days.
  • Keep access in stepGive or remove a membership, set an Ultimate Member role, add someone to a BuddyPress group or give them a Discord role.
  • Win members backWhen a level ends, wait, check they have not rejoined, and send an offer.
  • Reward the active onesAward GamiPress points, achievements and ranks, and give real perks when members rank up.

Save MemberPress members whose payment failed

Ask the member to update their card at once. Three days later, remind anyone still active, or invite back anyone whose membership has lapsed and tag them in FluentCRM.

    Give members their Discord role

A form where someone hands over their Discord ID gets them the role that opens the members-only channels, a welcome message from the bot, and an invite link if they are not in the server yet.

Before you start

  • Which plan you need. MemberPress joins, purchases, renewals, cancellations and expiries are triggers on every plan, including Free. Failed and refunded MemberPress payments, Paid Memberships Pro levels, Ultimate Member roles and adding someone to a BuddyPress group start on Personal. Paid Memberships Pro renewals and refunds, and Discord roles, are on Business.
  • Billing stays with your membership plugin. Giving someone a MemberPress membership records a manual transaction with no payment. Cancelling a subscription stops recurring billing at the payment gateway, and access lasts until the paid period ends.
  • Discord roles need a bot. A Discord webhook can only post messages; giving members a role needs a Discord connection with a bot token.
  • Check before you act. Conditions such as “is an active MemberPress member” let a win-back workflow skip people who have already rejoined.
