The problem

What makes this slow by hand

  • Leads stuck in form entries

Submissions sit in each form plugin’s entries screen until someone copies them into the CRM.

  • Lists that drift out of date

Customers who bought, unsubscribed or changed their address are not reflected in your email tool.

  • Warm leads reach sales late

A pricing question waits in the same inbox as everything else.

  • Glue code nobody maintains

A snippet or a connector links two tools, until one of them changes.

How FlowWP handles it

The same work, as workflows on your own site

  • Every form, one patternWPForms, Gravity Forms, Contact Form 7, Fluent Forms, Formidable, Ninja Forms, Forminator and Elementor forms can all start a workflow, and a webhook accepts leads from any other app.
  • Your CRM kept currentCreate and tag contacts in FluentCRM or Groundhogg, add subscribers to Mailchimp or MailPoet, and remove a tag when someone unsubscribes.
  • Routing that reads the leadSwitch sends pricing questions to sales and problems to support, and an AI step can file a message as a question, a complaint or a sales lead.
  • Follow-ups that check firstWait two days, check whether the enquiry became a customer, and only then follow up.
  • Segments from behaviourTag big spenders VIP, react when a contact clicks a link, and tell your team while the lead is warm.
  • Alerts where your team worksPost new leads to Slack, Discord, Telegram or WhatsApp as they arrive.

Route Elementor leads to the right person

Every lead is saved in FluentCRM and gets an instant reply. Then pricing questions go to sales, problems go to support, and the rest to a general inbox. Uses the name and message fields of Elementor’s default form.

Tell sales when a contact clicks a link

A click in one of your emails is the warmest signal you get. This tags the contact and tells your team while they are still reading.

Put paying customers on your Mailchimp audience

A paid order adds the customer to an audience as Pending, so Mailchimp emails them to confirm before it counts them — the compliant way round. If your checkout already asks for consent, change the step to Subscribed.

    2 stepsBeginner

Before you start

  • Decide the rule once. Form fields arrive as tokens. Choose which become the contact’s name, email and tags, and every lead after that follows the same rule.
  • Consent is yours to collect. A workflow adds someone to a list because you told it to. Check your form’s consent field with an If before subscribing anyone. Adding Mailchimp subscribers as Pending lets Mailchimp ask them to confirm.
  • Which plan you need. Steps for WPForms, Contact Form 7, Forminator, Ninja Forms and Formidable start on Personal, along with a starter set of CRM, marketing and messaging steps. Gravity Forms, Fluent Forms and the full CRM, marketing and messaging integrations are on Business.
  • What leaves your site. FlowWP only contacts Mailchimp, Slack and other services when a workflow uses them, with your own keys. Each integration page says exactly what is sent.
