The problem

What is done by hand today

Important things happen on the site without anyone noticing: a large order, a failed payment, a new lead, a post going live, the site going down. People find out late, from a customer, or not at all.

How the workflow solves it

From the event to the result

  1. Trigger

Any event worth hearing about — an order, a form entry, a new user, a published post, a failed payment — or a schedule, such as checking a page every 15 minutes (Personal and above).

  2. Logic

Only continue if lets through what matters and nothing else: orders over an amount, payments that failed, a page that answers with an error.

  3. Actions

Send an email on every plan. From Personal, send a Slack, Discord or Telegram message or a WhatsApp template message, with the order number, the customer or a link written into it from earlier steps.

  4. Result

The person who has to act hears about it at once, in the tool they already watch.

    1. WooCommerce logoTrigger: An order is paid (WooCommerce)
    2. Slack logoAction: Send a Slack message (Slack)
    MessagingPersonal plan

Tell the team about every order in Slack

A paid order posts to your channel with what was bought, what it came to, and a link straight to the order. The one automation nearly every shop wants first.

Name the person who should chase a failed payment

A failed payment posts to your channel with an @ mention of whoever handles them, so it is someone’s job rather than everyone’s.

    MessagingPersonal plan

Wake someone up when the site goes down

Checks a page every fifteen minutes. The moment it answers with an error, Telegram reaches a phone and Slack tells the team — because email is the one place nobody looks at two in the morning.

    1. WooCommerce logoTrigger: An order reaches a status (WooCommerce)
    2. Condition: Only continue if (Logic)
    3. WhatsApp logoAction: Send a WhatsApp template message (WhatsApp)
    MessagingPersonal plan

Tell the customer on WhatsApp when their order ships

A completed order sends an approved template to the phone number on the order. WhatsApp only allows a template for a message a business starts, so write and submit one in the WhatsApp Manager first — its placeholders are filled in here with their name and the order number.

    2. GiveWP logoAction: Get a GiveWP donor (GiveWP)
    3. Action: Send Email (Email)
    DonationsBusiness plan

Tell someone about a large donation

A gift over 500 — change that to whatever is large for you — reaches a person the same day, with the donor’s history beside it, so it can be acknowledged properly.

    1. WordPress logoTrigger: A user publishes a post (WordPress)
    2. Action: Send Email (Email)

Tell your team when a post goes live
